Requesting articles

If you want to see a copy of an article found through the index you need to submit a request to the National Library. This can be done by emailing, posting or faxing a request to the National Library.

How to request an article
First, check the school library and other local resources before requesting articles listed in Index New Zealand. Your library may hold the journal or have access to online sources of the full text.

Please select carefully and only request the most relevant articles. We suggest you read Email/print/save from the Help screen before you start.

How long does it take?
Requests are processed within four business days. Allow time for the items to be posted to you.

Post or fax printouts

These instructions apply to library staff, teachers, and students.

  1. Tick the box next to each item you want.
  2. Go to the end of the page.
  3. In the 'Record Options' box make sure 'Selected on Page' is in use (default setting). Record Options box
    • If you want every article on a page use the 'All on Page' option.
    • If there are a number of pages and you want to retain other article references:
      Click 'Retain Selected' and then choose the option 'Selected All Pages'.
  4. Select download format 'Detailed'.
    (This ensures all relevant information will be captured.)
  5. Click 'Print/Save' button.
  6. Click 'Print' icon (at top of browser).
  7. Please note: Students and teachers should arrange requests through the school library.
  8. Write or stamp name and address of school (and name of student or teacher, if relevant) on each printout. Please include date.
    (Note: There is also a School request form (PDF, 70kb) that you may wish to use instead.)
  9. Post or fax this information to:

Post or fax school request forms

These instructions apply to library staff, teachers, and students.

Print out the School request form (PDF, 70kb). Use one form per article. (Do not use this form if you are sending printouts.)

  1. Fill in the name and address of your school.
  2. Fill in the name of teacher or librarian.
  3. Fill in the name of student.
  4. Fill in the author of the article.
  5. Fill in the title of the article.
  6. Fill in the details of the source (please fill in all the details).
  7. Fax or post the form to:

Email requests from library staff

These instructions apply to library staff only.

  1. Tick the box next to each item(s) you want.
  2. Go to the end of the page.
  3. In the 'Record Options' box make sure 'Selected on Page' is in use (default setting). Emailing requests box
    • If you want every article on a page use the 'All on Page' option.
    • If there are a number of pages and you want to retain other article references:
      Click 'Retain Selected' and then choose the option 'Selected All Pages'.
  4. Type in your own email address and select 'Email'.
  5. When the message arrives in your email box you must:
    • Add your contact details (name, school etc).
    • Forward the email (rather than reply).
    • Send to: dss@natlib.govt.nz
      You must type in the DSS address otherwise it will go back to TKI.
    • Change the Subject line to 'INNZ Request' with your name and school.
    Note to library staff: As students and teachers are expected to make all requests for articles through the library you will need to forward their requests to DSS on their behalf.
  6. Send.

Email requests from teachers and students

These instructions apply to teachers and students.

  1. Tick the box next to each item(s) you want.
  2. Go to the end of the page.
  3. In the 'Record Options' box make sure 'Selected on Page' is in use (default setting). Record Options box
    • If you want every article on a page use the 'All on Page' option.
    • If there are a number of pages and you want to retain other article references:
      Click 'Retain Selected' and then choose the option: 'Selected All Pages'.
  4. Select download format: 'Detailed'.
    (This ensures all relevant information will be captured.)
  5. Type in your own email address and select 'Email'.
  6. When the message arrives in your email box you must:
    • Add your contact details (your name, school etc).
    • Forward the email (rather than reply).
    • Insert school library email address.
      You must insert the school address otherwise it will go back to TKI.
    • Change the Subject line to 'INNZ Request' with your name and school name.
    This will then route the request through to your library and they will send on to the National Library's Document Supply Service (DSS).
  7. Send.
